Why does order tracking matter in Sri Lanka?
Most online orders in Sri Lanka move through two systems: the retailer’s warehouse and a third-party courier. If you don’t know which stage your parcel is in, a two-hour worry can turn into a three-day panic. Knowing how to read the tracking flow saves you time and, more importantly, tells you exactly whom to contact when something stalls.
In four years at Kapruka, I see the same pattern every week: buyers who understand the tracking stages resolve issues in a single message, while buyers who don’t call three times about the same order. This post explains how to track an online order in Sri Lanka regardless of which retailer you buy from — Kapruka, Daraz, Ceylon Nest, or any local Shopify store.
What information do you need to track an order?
Before you can track anything, you need one of three pieces of data:
- Order number — usually 6 to 10 characters, printed at the top of the confirmation email. Kapruka order numbers, for example, are numeric and appear in the subject line.
- Registered email address — the one you used at checkout. This is critical for guest-checkout orders.
- Courier tracking / waybill number — issued only after dispatch, usually 10 to 14 digits.
If you paid by card, keep your bank SMS as well. The transaction reference helps customer support match your order faster if the order number is misplaced.
How do I track an online order in Sri Lanka?
Follow these five steps for any Sri Lankan e-commerce order:
Open the order confirmation email. It arrives within 5 to 15 minutes of checkout. If it’s not in your inbox, check spam and promotions. On Kapruka, the confirmation is sent from noreply@kapruka.com.
Note the order number. Every subsequent status update — dispatch alert, delivery notification, refund message — references this number. Save it in your notes app.
Sign into your account dashboard. Most Sri Lankan merchants have a “My Orders” or “Order History” page. This shows the internal status: Pending, Verified, Packed, Dispatched, or Delivered. Wait for the dispatch email. This is the trigger. Until you receive a dispatch notification with a courier waybill number, the parcel is still with the merchant. Track on the courier’s system. Sri Lankan couriers commonly used include Domex, Pronto Lanka, Aramex, DHL, FedEx, and Sri Lanka Post (slpost.gov.lk). Paste the waybill number into the courier’s tracking page. Local deliveries within Colombo update in near real time; outstation deliveries to Kandy, Jaffna, or Batticaloa often show a scan only once per day.
Merchant tracking vs courier tracking: what’s the difference?
These two systems track different halves of your order’s journey. Confusing them causes most tracking complaints I see.

The short version: the merchant tracks the order until the courier collects it. After that, the courier tracks the parcel until it reaches the recipient. Both systems are correct at the same time — they just describe different stages.
Common mistakes when tracking online orders
These are the errors that create most support tickets in my inbox:
- Checking courier tracking before dispatch. If the merchant hasn’t handed the parcel over, the courier’s system won’t know it exists yet. Wait for the dispatch email.
- Using the order number on the courier site. Order numbers are internal to the retailer. Couriers only accept their own waybill number.
- Ignoring the verification call. For higher-value orders paid by card, retailers often call to confirm identity. Missing this call delays dispatch. Kapruka’s verification window is 1 to 2 working days.
- Assuming “no update” means “lost”. Outstation courier scans lag by 12 to 36 hours. A stalled screen is normal — a stalled screen after 4 working days is worth escalating.
- Booking multiple support tickets. Every duplicate ticket pushes your case to the back of the queue. One clear message with the order number moves faster.
A real example
A diaspora sender in Melbourne placed an order on Kapruka to send flowers in Sri Lanka to her grandmother in Kandy for a birthday. Her dashboard showed “Dispatched” on the morning of delivery, but the courier page showed no scan for six hours. She messaged support in a panic, worried the flowers were lost.
The parcel was actually on the route van heading to Kandy — the courier had picked up 40+ parcels in one collection and scanned them as a batch at the hub that evening. By 7pm, the tracking updated to “Delivered” with the recipient’s name.
Merchant “Dispatched” plus courier “no scan yet” is almost never a lost parcel. It’s a timing gap between two systems.
What if I need to change delivery details after tracking starts?
If you spot something wrong after tracking begins — wrong address, wrong recipient number, wrong delivery date — contact the merchant immediately, not the courier. Couriers will not accept re-routing instructions from the customer. Merchants can often intercept the parcel before final delivery. Frequently asked questions
How long does it take for a tracking number to become active?
Courier tracking numbers usually activate within 12 to 24 hours of dispatch. The number exists the moment the merchant generates it, but the courier’s system only recognises it after the first scan at their hub.
Can I track an online order without an account?
Yes. Guest-checkout orders track through the link in the confirmation email. You cannot log into a dashboard because no account exists, so keep that email safe. If you lose it, contact the merchant with your name and delivery address.
What is the difference between processing and dispatched?
Processing means the merchant has received your order but the parcel has not left the warehouse. Dispatched means the courier has physically collected the parcel. Only after dispatch does courier tracking start working.
Why does my tracking status not update for days?
Outstation deliveries in Sri Lanka scan less frequently than Colombo runs. A 24 to 48 hour gap is normal. If nothing has updated after 4 working days, contact the merchant with your order number and ask them to raise a trace request with the courier.
The tracking shows delivered but I did not receive the parcel. What do I do?
Contact the merchant within 24 hours with the order number, the exact delivered timestamp, and the delivery address on file. Merchants can pull the courier’s proof-of-delivery record and investigate. Do not wait longer than a day.
