For a standard buttercream birthday cake in Sri Lanka — round or square, one tier, a written message and a basic border — 48 to 72 hours’ notice is the safe window. That gives the bakery a full working day to bake and cool the sponge and another to ice, decorate, and dispatch.
If you need delivery in Colombo or the immediate suburbs, 48 hours is usually enough. For delivery to Kandy, Galle, Jaffna, or smaller towns, aim for 72 hours so the cake can be dispatched on the correct route day rather than sitting overnight.
You can technically order later than this, but you lose flexibility on flavour and design choice. On a typical weekday I see about 20–30% of birthday cake orders come in with less than 24 hours’ notice, and those are the ones where we have to say “we can do chocolate or vanilla, we cannot do red velvet today.”
How much notice does a custom or fondant cake need?

It does not work for custom messages requiring fresh piping, fondant, photo-print, or specific flavours you request on the phone.
At Kapruka’s cake range, same-day slots in Colombo typically require an order in before 11:00 AM local time for evening delivery the same day, and even then the available options narrow down to whatever the partnered bakery has cooling on the rack. Outside Colombo, same-day is generally not feasible — the courier route to Kandy or Galle has fixed pickup windows.
