TL;DR: The Kapruka return and refund policy depends on what you bought. Durable goods (electronics, homeware) can be returned if faulty or wrong; perishables like flowers and cakes are fixed by replacement, not return. Refunds go to your original payment method, usually within 3-4 business days locally and up to 7 days for international cards.

Why it matters

Returns work differently when the buyer and the recipient are in two different countries. A lot of our orders are placed by someone in Melbourne or London for a parent or sibling in Colombo. So when something needs fixing, there are two people, two time zones, and one card to refund. That changes how a return is handled compared to a normal shop-down-the-road purchase.

The other thing that matters is product type. Half of what moves through Kapruka is perishable: flowers, cakes, fruit, food hampers. You cannot “return” a cake the way you return a kettle. For those items the fix is a replacement or a redelivery, not a parcel coming back to a warehouse. Knowing which bucket your item falls into tells you what outcome to expect before you even contact support, which saves everyone time.

What does Kapruka’s return and refund policy actually cover?

At a general level, returns split into two categories, and the category decides the outcome.

  • Durable / non-perishable goods (electronics, appliances, homeware, toys, books): these can typically be returned if the item arrived faulty, damaged, or is not what was ordered. The usual resolutions are repair, replacement, or refund.
  • Perishable goods (flowers, cakes, fruit, fresh food hampers): these are not returned. Because of their short shelf life, the standard fix is a replacement delivery if the item arrived in poor condition or was clearly wrong.

How do I start a return with Kapruka?

The process is the same whether you’re local or overseas. What changes is the timing and the shipping leg.

  1. Check the item type first. Perishable? You’re looking at a replacement, not a return. Durable? Continue below.
  2. Gather proof. Have your order number ready and take clear photos of the issue, the item, and the packaging if it arrived damaged. For perishables, photos are essential because the item won’t travel back.
  3. Contact support promptly. Reach out through Kapruka’s support channel as soon as you notice the problem. The sooner you report, the easier it is to verify and act, especially for anything perishable.
  4. Get your case logged. Support will confirm whether the item qualifies and tell you the resolution: replacement, refund, or store credit.
  5. Return the goods if required. For durable items, you’ll be told where and how to send the item back. Don’t ship anything until support confirms the return address.
  6. Wait for the resolution. Once the returned item or the photo evidence is verified, the refund or replacement is processed.

How are refunds paid, and how long do they take?

Under Kapruka’s standard process, refunds go back to the original payment method. If you paid with a Visa or Mastercard, the money returns to that same card. There’s a practical reason for this beyond policy: it’s the cleanest audit trail and it protects against fraud.

The international leg is slower not because of Kapruka but because of how cross-border card settlement works. The refund can be authorised on our side quickly, then it sits with the international card networks and the issuing bank before it shows on the statement. Refund vs replacement vs store credit — what’s the difference?

  • Refund: money returns to your original payment method. Best when you no longer want the item.
  • Replacement: a new unit (or a fresh perishable delivery) is sent. This is the default for flowers and cakes that arrived in poor condition.
  • Store credit: a balance held against your account for a future order. This is only ever applied when it’s agreed with you, not imposed.

Who pays for return shipping?

This is the question I get most. The short version: it depends on whose fault it is.

  • If the item is faulty, damaged in transit, or the wrong product was sent, the return is on us — you shouldn’t be out of pocket for our error.
  • If it’s a change of mind on a durable item and the item itself is fine, return shipping is generally the customer’s responsibility, and you should confirm this with support before sending anything.

For perishables there’s no return shipping at all, since the resolution is a replacement.

A real example: a damaged hamper from London to Kandy

Here’s an anonymised case that shows how the two-country part works. A customer in London ordered a food hamper for her father in Kandy, paid in GBP on a Visa card, total around LKR 14,500 equivalent. The recipient messaged that two jars inside had cracked in transit.

We asked the recipient in Kandy for three photos: the outer box, the broken jars, and the packing slip. Because a hamper is perishable-adjacent and partly damaged, we offered a replacement of the affected items delivered to Kandy, which the customer preferred over a refund. The replacement went out the next delivery day. Had she chosen a refund instead, the credit to her UK Visa would have taken close to 7 business days to appear, versus a same-week replacement.
